Ecommerce Return Rate: Measuring What Returns Really Cost

How to measure your return rate, why refunds and handling costs belong in separate columns, and what actually brings returns down.

Two numbers, not one

Most stores know roughly how often orders come back. Fewer know what those returns cost. The two are different questions. The return rate tells you how often it happens. The cost of returns tells you how much money it takes with it, and a large part of that cost never shows up as a refund at all.

The return rate calculator answers both from one month of your own figures: orders shipped, orders returned, the average refund, and, if you add them, the cost of return postage and handling and the share of returned stock you cannot resell.

Measuring the rate properly

  • Count orders, not items. It keeps the rate between zero and a hundred percent and stops one large multi-item return from skewing the month.
  • Measure a month that is old enough. Returns can arrive weeks after the order. Pick a month at least one full return window in the past.
  • Use one report for both figures. Orders and returns from different systems rarely line up.

An imaginary dress label that shipped 1,200 orders in a month and saw 264 come back has a return rate of 22 percent, about one order in every four and a half.

Refunds versus money spent

A refund hands back money the store took. It hurts, but the product usually comes back too. Return postage, the time to receive, inspect and restock a parcel, and stock that has to be written off are different: that money is spent and gone. Keeping the two apart shows the true drag returns put on the business.

For the dress label, refunds came to 20,592 dollars in the month, while postage, handling and unsellable stock cost a further 3,141.60 dollars. The calculator shows that as about 2.62 dollars of pure cost carried by each order it shipped, returned or not.

What brings returns down

  • Find the products that drive the rate. A store-wide figure often sits on a handful of items with sizing or quality issues.
  • Improve size guides and photos. Many returns come from a product that looked different or fitted differently from what the shopper expected.
  • Write honest descriptions. Overselling a product raises the return rate later.
  • Ask why. A short question at the right moment tells you more than any report.

Be careful with tightening the policy alone. A very strict policy can cut returns while also putting shoppers off buying in the first place, so watch your conversion rate alongside the return rate.
